Cancellation Policy

Bookings and Payments A 50% deposit is required at the time of booking to secure appointments, consultations, advocacy meetings, or support sessions. Bookings are not confirmed until the deposit has been received. The remaining balance must be paid before the appointment or within the payment timeframe specified on the invoice. Cancellation and Refund Policy Client Cancellations If a client cancels more than 48 hours before the scheduled appointment, the 50% deposit will be refunded in full. If a client cancels within 48 hours of the scheduled appointment, Together Through SEND reserves the right to retain the 50% deposit. This is because appointment times are reserved exclusively for the client and may prevent other families from accessing support during that period. Preparation Work Already Undertaken For advocacy meetings, EHCP support, annual reviews, tribunal preparation, or any service requiring document review and preparation, work may begin before the scheduled appointment date. Where preparation work has already been completed, Together Through SEND reserves the right to charge for the time spent preparing, reviewing documents, researching information, drafting correspondence, or undertaking other agreed work. This charge may exceed the value of the booking deposit where substantial preparation has already been undertaken. Any additional charges will be discussed with the client and supported by a clear breakdown of work completed. Failure to Attend Failure to attend a scheduled appointment without notice will be treated as a late cancellation. In these circumstances: The booking deposit will be retained. Any preparation work already completed may still be chargeable. Rescheduling Appointments may be rescheduled without charge where at least 48 hours' notice is provided. Requests to reschedule within 48 hours of the appointment may be treated as a cancellation and may result in the loss of the booking deposit. Exceptional circumstances will be considered at the discretion of Together Through SEND. Cancellation by Together Through SEND If Together Through SEND needs to cancel an appointment due to unforeseen circumstances, clients will be offered either: A full refund of any monies paid; or An alternative appointment date and time.
